KRA eTIMS integration

eTIMS inside the system you already invoice from.

KRA expects every sale to go through eTIMS, and an expense without an eTIMS invoice behind it can be disallowed. If your staff retype invoices into the portal, or no ready-made connector fits how you bill, we connect your own system to eTIMS directly.

What you get

What the connection does

Your team raises invoices the way they already do. The KRA side happens on its own, and when something does not go through, the invoice says so.

OSCU or VSCU, chosen for you

KRA offers two ways for a system to connect. OSCU suits invoicing that is always online, and VSCU suits bulk invoicing that is not. We pick the one that fits how you bill before anything is built.

Built into how you already invoice

Customer PINs, item codes and tax types captured in your own system and sent with every invoice. The KRA details and QR code come back and print on the invoice your customer receives.

Sandbox, testing and certification

Built to KRA's specification, run through KRA's test environment with your real invoice types, and taken through KRA's testing and certification before the first live invoice.

When KRA or the connection is down

Invoices are still raised and queued, sent when the connection returns, and never sent twice. Anything still unsent after a set time warns the person responsible.

Credit notes, not silent edits

A correction or a return goes to KRA as a credit note against the original invoice, so your reported sales go down correctly instead of leaving two unrelated documents.

Invoice, payment and tax in one record

Where we also handle your payments, the invoice, its KRA record and the M-PESA payment that settles it stay linked, so one reconciliation covers all three.

Is this right for you

Right for you if

  • You invoice from your own billing, POS or custom system
  • Staff retype sales into the eTIMS portal, and the volume keeps growing
  • You bill in bulk - utilities, schools, subscriptions - and no ready-made connector fits

Not the right buy if

  • You raise a handful of invoices a month. KRA's own eTIMS tools on the web, the mobile app or USSD are enough.

How it runs

What happens, step by step

The price is fixed in writing before any work starts, and never paid in full upfront.

01 Walk us through one invoice On a short call, we follow one invoice and one credit note through your system, and look at your volume and branches.
02 A written plan and a fixed price Which unit, what your system has to start capturing, and what happens when KRA is unreachable, written down with a fixed price before anything is built.
03 Sandbox first Connected to KRA's test environment, with your real invoice types run through it until every one clears.
04 Certified, then live Taken through KRA's certification and switched to production, with the first days watched closely and any failed invoice picked up the same day.

Already on ERPNext?

Connecting ERPNext or Frappe to eTIMS is a fixed-price job with its own page, covering sales and purchase invoices, stock movements and every branch on its own device.

What people ask about eTIMS

What is the difference between OSCU and VSCU?

Both connect your invoicing or ERP system to eTIMS. KRA describes OSCU as suited to businesses whose invoicing is always online, and VSCU as suited to bulk invoicing by businesses that are not always online. We recommend one on the first call, based on how you bill.

Can we connect to eTIMS ourselves, or do we need a verified integrator?

KRA allows both. A business can self-integrate, which means building, testing and certifying its own system, or use a KRA-verified integrator's product. When your invoicing lives in your own software, self-integration is usually the route, and we do the building and the certification work with you.

Who needs a system-to-system eTIMS connection?

Businesses that invoice from their own software, especially at volume. A small business raising a few invoices a month can use KRA's own eTIMS tools on the web, the mobile app or USSD, and does not need a connection at all.

What happens to expenses without an eTIMS invoice?

Since January 2024, expenses not supported by an eTIMS invoice can be disallowed, with some exemptions, and from January 2026 KRA checks the income and expenses in your returns against eTIMS data. Confirm how this applies to your business with your tax adviser.

What happens if KRA systems are down?

Invoices are still raised in your system and queued. They are sent when the connection comes back, never twice, and anything still unsent after a set time warns the person responsible.

Can eTIMS be connected to our M-PESA and billing?

Yes, and that is the most useful version. The invoice goes out with its KRA record, the payment settles against it, and one reconciliation covers both.

Every question we get asked is on one page, if you would rather read the lot.
