eTIMS integration

Every invoice through eTIMS, the moment it is raised.

KRA expects every sale to be invoiced through eTIMS, and an expense without a valid eTIMS invoice behind it can be disallowed. Retyping invoices into the portal works until the volume goes up. We connect ERPNext to eTIMS directly, so compliance happens when the invoice is raised.

What you get

What the eTIMS connection does

The point is that nobody on your team thinks about eTIMS. They raise an invoice in ERPNext the way they always have, and the KRA side happens on its own - with a clear warning when something does not go through.

Invoices transmitted when they are submitted

Sales invoices and credit notes go to KRA as they are submitted. The control unit details and the QR code come back and are printed on the invoice your customer receives.

Items and tax classes mapped once

Every item is mapped to its KRA item classification, packaging and tax type during setup, so a new invoice does not need anybody to know the codes.

Purchase invoices pulled back in

Invoices your suppliers raise against your PIN are fetched from eTIMS and matched to your purchase records, so you can see which expenses are properly supported before your tax return, not after.

Stock movements reported

Where KRA requires it, stock receipts and adjustments are reported alongside the invoices, so the stock position KRA sees matches the one in your warehouse.

Failures you can see

An invoice that fails to transmit is flagged on the invoice itself with the reason, and retried. It does not quietly sit unsent until an assessment letter arrives.

Every branch on its own device

Each branch or point of sale registered as its own eTIMS device and tied to the right company, cost centre and warehouse.

Is this right for you

Right for you if

  • You already run ERPNext and invoice KRA through the portal or a workaround
  • You raise enough invoices that retyping them is a job in itself
  • You have several branches or tills that each need to report

Not the right buy if

  • You raise a handful of invoices a month - the free KRA portal or app is enough

How it runs

What happens, step by step

An implementation is not finished when the screens work. It is finished when your opening balances, stock and customer ledgers agree with the books you are leaving, your invoices clear eTIMS, and your team can close a month without calling us.

01 A short call and a fixed quote If you already run ERPNext, we look at your version, your branches and your invoice volume, and quote a fixed price. No discovery week needed for this one.
02 Sandbox first We connect to the KRA test environment, map your items and taxes, and run your real invoice types through it until every one clears.
03 Go live and watch it Switched to production, the first days watched closely, and any failed transmission picked up the same day.

What it costs

What it costs to get started

Starting prices. The final figure is fixed in writing before any work starts, and does not move once it is. ERPNext has no licence fee per user.

eTIMS connection

one-off, per company

From KES 85,000

From USD 850 billed internationally

For a business already on ERPNext: item and tax mapping, sandbox testing, go-live, and the first weeks watched. Extra branches and devices are quoted on the call.

Never the whole fee upfront - the last payment falls due on delivery

Before you commit

What people ask about eTIMS

Do we need to be on the latest version of ERPNext?

Not necessarily. We check your version on the first call. Older versions can usually be connected, but if an upgrade would be cheaper than working around an old release, we will tell you before you commit.

We do not use ERPNext yet. Can we start with eTIMS?

Yes. eTIMS is often the reason a business moves to ERPNext in the first place. It becomes the first phase of an implementation, and the rest follows once invoicing is compliant.

What happens if KRA systems are down?

Invoices are still raised in ERPNext and queued. They are transmitted when the connection comes back, and anything still unsent after a set time raises a warning to the person responsible.

Does this cover credit notes and returns?

Yes. Credit notes are transmitted against the original invoice, so a return reduces your reported sales correctly rather than leaving two unrelated documents at KRA.

Every question we get asked is on one page, if you would rather read the lot.
